Customer Service Rep - Beef Sales

LOCATION: FORT McCOY, Florida: 15 miles north of Ocala

Fort McCoy Ranch is seeking a CUSTOMER SERVICE REP for it's beef sales operation. The Customer Service Rep processes orders, answers questions about inventory and product specifications, answers customer inquiries, and invoices customers. The customer service rep creates Cut Sheets (orders for certain cuts of beef) for the Fabrication department that will fill the needs of upcoming orders as well as fill gaps in inventory. This individual works alongside the shipping department to assure orders are filled accurately. The Customer Service rep is the key to reducing lost sales due to stock-outs, as well as encouraging orders to decrease stock overages. As will all positions at this company, the Customer Service Rep is expected to be a team player and assist with other tasks throughout the organization.

Duties and responsibilities

Processing Sales Orders:

  • Accept customer orders and answer questions about product specs and availability.
  • Evaluate inventory and create Cut Sheets so that orders can be filled. Work with Grind and Fabrication departments to assure Cut Sheets are accurate, clear and make the best use of the carcasses on hand.
  • Communicate prices weekly to approved customers.
  • Communicate customer needs to shipping, fabrication and other hands-on personnel who influence fulfillment of customer needs.
  • Review inventory data for gaps, overages, product age, and accuracy and discuss with Shipping & Fab.
  • Enter accurate prices and review extended orders before product is shipped.
  • Communicate to customers ASAP if there is a stock-out on their order, and provide alternative choices. Never let an order arrive at a client’s door short without them knowing about it first.
  • Create Invoices by end-of-day on all shipped orders that have left the facility.
  • Communicate with Shipping dates/times for Pick-ups and special requests- be the coordinator between our shipping department and the customer.
  • Answer all emails or phone calls and deal with any issues before leaving the facility for the day.

Inventory and Accounting Control

· Work with Controller to obtain approval and release of customers from credit hold if customer exceeds terms and / or credit limit.

  • Compare return orders and credits to marked invoice and return log. Issue return authorizations in accordance with company policy and provide documentation that authorizes driver pickup of product at time of next delivery, if necessary – after receiving approval from the Sales Manager.
  • Work with the Shipping and Accounting departments to reconcile the MeritTrax sales order history total to the general ledger sales account totals.
  • File signed invoices when returned after delivery and credits in customer files. Audit for missing items.

Potential Clients:

· Collaborate with the General Manager and Sales Manager in regards to new potential clients.

· Generally, the Customer Service Rep will hand-off sales leads to the Sales Manager.

  • Assist the Sales Manager with admin tasks including mailing brochures, product samples, emails, etc.
  • Obtain new customer applications and run credit bureau reports, request and receive bank and trade references and disseminate customer welcome letter and custom price list (when necessary) once terms, credit limits and prices are established and approved- after approved by the Sales Manager.

Qualifications include:

  • Bachelor’s Degree in Business, Marketing and/or 3+ years related working experience.
  • Prior experience effectively servicing customers and excellent customer relations skills exhibiting patience, flexibility and willingness to serve.
  • Excellent follow up, follow through and time management skills and persistence.
  • Ability to influence others in the deliverance of exceptional customer service.
  • Strong sense of urgency and excellent attendance; Willing and able to work long hours when needed.
  • Good collaboration and communication skills.
  • Exceptional computer/I.T. skills.
  • Ability to work alone and complete tasks without supervision.
  • Professional, accessible and calm demeanor; also outgoing and personable character traits.
  • Knowledge of beef, pork and chicken terminology, sources of sub-primals and observance of shop floor cutting procedures and product flow is preferred, but training is available.

Working conditions

Working conditions are in a cold shipping office in refrigerated warehouse. Frequent interaction with shipping, receiving and production personnel will require transition between warm and cold environments. Position is in a slaughter facility and individual will observe and interact in an environment where cattle are slaughtered and personnel from the slaughter facility are working. Customer service duties will involve working with customer complaints and criticisms that will require calming the customer and assuring them with follow through, prompt and courteous service that meets the customer’s expectations. Individual in this position will often make independent and quick judgement decisions based on facts, precedents and customer needs. Person in this position will be the face of the company to the customer and the person who most frequently receives and responds to customer communications.

Physical requirements

The position will not require heavy lifting or physically demanding tasks. Position does require ability to concentrate in a noisy, cold environment and the ability to withstand cold conditions for most of the work day.
